How to Switch Medical Spa Software Without Losing Client Records

A step-by-step plan for moving a med spa to new software: exporting client records, checking data, the cut-over, staff training, and going live.

Key takeaways

  • Before you sign anything, find out exactly what your current system lets you export, and in what format.
  • Client records, consent forms, and treatment history need more care than the calendar.
  • Plan the switch around a quieter period, with a short overlap and a clear cut-over date.
  • Keep a read-only copy of your old data for as long as your record-keeping obligations require.

Many clinic owners stay with software they've outgrown because switching feels risky. The worry is understandable: your system holds years of client records, consent forms, treatment notes, and future appointments. But a switch planned carefully is manageable, even for a busy med spa. This guide walks through how to switch medical spa software without losing client records or disrupting your schedule.

Step 1: Find out what you can take with you

Before you commit to a new system, ask your current provider exactly what you can export. Clinic software varies widely here. Some systems export everything in standard formats; others only export client contact details, or charge for a full export.

Ask your current provider

  • Which data can be exported: client profiles, appointments, treatment notes, forms, photos, invoices, and packages?
  • In what format: spreadsheet (CSV), PDF, or another format?
  • Are signed consent forms and photos exported with the client they belong to?
  • Is there a fee for a full export, and how long does it take?
  • How long will my data remain accessible after I cancel?

Then ask the new provider what it can import, and how. If the two don't match, you'll need a plan for the records that can't move automatically, such as keeping a secure archive of the old system's exports.

Step 2: Decide what needs to move

Not all data has the same value in a new system. Separate what you need to work with every day from what you need to keep.

  • Move: active client profiles, contact details and communication consent, future appointments, active treatment plans, and remaining sessions on prepaid packages.
  • Keep accessible: past treatment notes, signed consent forms, photos, and invoices, either imported or held in a secure archive.
  • Rebuild: your service menu, prices, practitioner availability, forms, and reminder templates. Setting these up fresh is often cleaner than importing old settings.

Step 3: Check the data before you rely on it

Exports are often messier than expected. Before importing, review a sample of records: duplicate clients, missing phone numbers, names split across the wrong fields, and appointments in the wrong time zone are common. After importing, check a handful of clients from start to finish in the new system, including someone with several visits and someone with an active package.

Step 4: Set up the new system properly

  1. Create your service menu with durations, prices, and taxes.
  2. Add your team with the right roles and permissions.
  3. Set each practitioner's availability and the services they provide.
  4. Rebuild intake and consent forms, and have the clinical lead review them.
  5. Set up appointment reminders and confirmation messages in your clinic's tone.
  6. Test the booking flow yourself, as a client would.

Step 5: Plan the cut-over

Choose a quieter week for the switch, and pick a single cut-over date after which all new bookings go into the new system. Before that date, move future appointments and let clients know if anything changes for them, such as a new booking link or reminder sender. A short overlap, where the old system is read-only, gives staff a safety net while they get used to the new one.

Update every place your booking link appears: your website, Google Business Profile, social media profiles, and email signatures. Our Google Business Profile guide covers where links appear.

Step 6: Train your team

Staff confidence makes or breaks a switch. Walk each role through the tasks they do every day: booking and moving appointments, checking clients in, completing forms, writing notes, and taking payment. A one-page reference for the first two weeks helps, and so does naming one person to collect questions.

Step 7: Review after the first month

After a month, check what's working. Are reminders going out? Are clients completing forms before they arrive? Are there records that still need fixing? Close the old account only when you're sure nothing is missing and you have an archive of anything you're required to keep.

Software switching checklist

  • We know what our current system can export, and in which format.
  • We know what the new system can import.
  • We've decided what to move, what to archive, and what to rebuild.
  • A sample of records was checked before and after import.
  • Services, team, availability, forms, and reminders are set up.
  • Future appointments are in the new system before the cut-over date.
  • Booking links are updated everywhere.
  • Staff have been trained on their daily tasks.
  • Old records stay accessible for as long as we must keep them.
