Ontario med spas

Med spa software for Ontario clinics

Running a medical spa in Ontario means working inside a specific set of rules: regulated professionals and controlled acts, provincial health privacy law, Canadian anti-spam law for your marketing, and HST on taxable services. Most clinic software is built for the United States and leaves those details to you.

MedClinora is built in Ontario for Canadian aesthetics clinics. It brings booking, forms, client records, payments, and client communication together, with Canadian dollars, Canadian consent rules for email, and Ontario's realities in mind.

Designed with Ontario's rules in mind

Many medical aesthetic treatments involve controlled acts under Ontario's Regulated Health Professions Act — administering a substance by injection, for example — which only authorized professionals may perform or delegate within their college's rules. MedClinora's roles keep owners, managers, practitioners, and the front desk in their own lanes, but scope of practice is always a question for the relevant college, such as the CPSO or the CNO.

  • Health information: depending on your structure, Ontario's PHIPA or federal privacy law applies. Each clinic's records stay in a private workspace with role-based access and an audit trail.
  • Marketing: client emails follow CASL basics — recorded consent, sender identification, and a working unsubscribe — and opted-out clients are never emailed.
  • Tax: invoices take the tax rates you set, such as HST at 13 % for taxable services. MedClinora doesn't decide which services are taxable; your accountant does.
  • Currency: prices, invoices, and subscriptions are in Canadian dollars.

From the first enquiry to the follow-up

An Ontario med spa competes on the client experience as much as on treatments. Clients can book online from your website, ask questions in a website chat with an AI assistant that answers from your own published information, complete intake and consent forms before arriving, and receive reminders and after-visit check-ins by email or text.

Behind the desk, your team works from one client record — treatments, forms, notes, packages, and invoices — instead of a booking app, a spreadsheet, and a paper binder.

Sized for independent clinics

Most Ontario med spas are independent, owner-led businesses. Plans are priced per clinic and sized by practitioners, from a solo injector on Starter to a team of up to six on Pro, and clinic groups can talk to us about the Multi-Location plan.

Checkout and retail in the same workspace

Med spas that sell skincare can check out the treatment and the products together, with the clinic's own tax rates applied to each line, stock deducted as products sell, and one numbered invoice per sale. The clinic checkout is included on Growth, Pro and Multi-Location.

Questions clinics ask

Is MedClinora PHIPA compliant?

No software alone makes a clinic compliant: PHIPA obligations fall on the clinic and its health information custodians. MedClinora supports good practice — private workspaces per clinic, role-based access, and an audit trail — and our Privacy Policy explains how data is handled. Ask your privacy advisor which law applies to your clinic's structure.

Does MedClinora charge HST on invoices?

Invoices apply the tax rates your clinic sets up, such as HST at 13 %, on the services you choose. Which services are taxable is a question for your accountant.

Is pricing in Canadian dollars?

Yes. Plans are priced in Canadian dollars per month, and client invoices are in Canadian dollars.

Is MedClinora only for Ontario?

No. MedClinora is built in Ontario and is available to aesthetics clinics across Canada. Provincial rules differ, so check with the regulatory colleges in your province.
