How to Follow Up With Medical Spa Enquiries That Haven't Booked

A practical system for following up med spa enquiries: response times, what to say, when to stop, CASL consent, and enquiry-to-booking rates.

Key takeaways

  • Most enquiries that don't book were never followed up properly, not turned away.
  • A fast, helpful first reply matters more than a long sequence of messages.
  • Follow up a small number of times, with something useful each time, and then stop.
  • Commercial follow-up messages must respect CASL consent rules.

Every medical spa receives enquiries that go nowhere: a website chat about lip filler prices, a message asking whether you treat melasma, a phone call from someone comparing clinics. Some of those people were never going to book. But many simply didn't get a timely reply, or got an answer and then forgot. A simple, respectful follow-up process can turn more of these enquiries into consultations without feeling pushy. This guide shows how to build one.

Why enquiries don't turn into bookings

  • The first reply came too late, after the person had booked elsewhere.
  • The answer didn't include a clear next step, such as a consultation link.
  • The person had a concern (price, pain, downtime, results) that nobody addressed.
  • No one followed up after the first conversation.
  • Enquiries arrived in several places and some were missed.

Most of these are process problems, which means they can be fixed without spending more on advertising.

Step 1: Collect enquiries in one place

Enquiries arrive through website chat, contact forms, phone calls, email, and social media messages. If each channel lives in a different inbox, some will be missed. Choose one place where every enquiry is recorded, even phone calls, with the person's name, contact details, what they asked about, and the date. Medical spa client management software or a shared team inbox makes this much easier than a spreadsheet.

Step 2: Reply quickly and helpfully

The first reply should answer the question that was asked and offer a clear next step. For most treatments, that next step is a consultation. A good first reply:

  • Answers the question directly, including a price range where you publish one.
  • Explains briefly what a consultation involves and why it matters.
  • Includes a booking link or two or three suggested times.
  • Leaves clinical questions for the practitioner at the consultation.

Step 3: Follow up a limited number of times

If the person doesn't book, a short, respectful sequence works better than repeated reminders. For example:

  1. Two or three days later: check whether they have any other questions, and repeat the booking link.
  2. About a week later: share something useful, such as what to expect at a consultation or your aftercare approach.
  3. After that: stop, unless they reply. Note the outcome so you don't contact them again by mistake.

Each message should be personal, brief, and easy to answer. If someone says no, thank them and close the enquiry.

Canada's Anti-Spam Legislation (CASL) applies to commercial electronic messages, including emails and texts promoting your services. Replying to a question someone asked you is different from adding them to marketing. In some cases an enquiry can give you implied consent to contact the person for a limited time, but the rules are specific. Record how and when each person contacted you, include your clinic's identification and an unsubscribe option in commercial messages, and stop when asked. Our guide to CASL-compliant email marketing explains consent in more detail, and the CRTC's CASL guidance (opens in a new tab) is the official source.

Step 5: Measure enquiry-to-booking conversion

Track a few simple numbers each month: how many enquiries you received, how many led to a booked consultation, and how many of those booked a treatment. Look at the results by channel and by treatment. If chat enquiries about one treatment rarely book, the issue may be your pricing information, your answer, or the follow-up. Our guide to medical spa KPIs covers other measures to track alongside conversion.

Following up with past clients

The same principles apply to clients who haven't returned. A reminder that a treatment is due, sent with consent and at the right interval, is useful service rather than marketing pressure. Our guide to Botox rebooking reminders shows how timing works for injectables.

Lead follow-up checklist

  • Every enquiry is recorded in one place, including phone calls.
  • First replies go out within our target response time.
  • Each reply answers the question and offers a clear next step.
  • Clinical questions are passed to a practitioner.
  • Follow-up is limited to a short sequence, then stops.
  • Consent and contact history are recorded for each person.
  • Commercial messages include identification and an unsubscribe option.
  • We review enquiry-to-booking conversion monthly.
